Event Ticketing and Organizer Terms

Scope and acceptance

These Terms supplement the Haptickk Terms of Use and Provider Terms for event listings, primary ticket sales, ticket purchases, admission tools, and organizer accounts. They apply to the organizer as the event-producing business and to purchasers using Haptickk. The Refunds, Cancellations and Financial Adjustments Policy governs refund and recovery procedures. Separate Swarm and Infinity terms govern reward programs. The organizer is responsible for staging the advertised event and honoring valid tickets. Haptickk provides ticketing and payment-administration technology and is not the producer of a third-party event merely because it lists the event or appears on a payment statement. Nothing here excludes Haptickk's own statutory or contractual duties.

Organizer authority and event obligations

The organizer represents that it is authorized to offer the event and all listed inventory, has rights to the event name and promotional materials, and will maintain necessary permits, consents, licenses, and appropriate insurance. It must arrange lawful use of the event site, comply with occupancy, fire, security, accessibility, employment, health, age, and alcohol requirements, and ensure personnel are trained for their functions. Before sales begin, disclose the organizer's identity, date, start and anticipated end, local time zone, location, ticket type, admission restrictions, included benefits, accessibility contact, refund terms, and material conditions. Clearly identify age limits, identification requirements, assigned seating where applicable, re-entry restrictions, and any separately optional purchases. Do not advertise an unconfirmed performer or material benefit as guaranteed. Organizers are responsible for accurate inventory, lawful capacity, fulfillment, entry decisions, attendee assistance, and prompt response to material problems. Haptickk may request evidence of authority, insurance, permits, or ability to deliver and may suspend sales where a supported risk warrants it.

Ticket prices and buyer fees

For a standard paid ticket, the buyer pays a ticket service fee of $2.00 per paid ticket plus 4% of that ticket's price, and a payment-processing fee of 2.5% of that same ticket price. The combined buyer fee is therefore $2.00 per paid ticket plus 6.5%. The fixed $2.00 is per paid ticket, not once per basket. Both percentage components exclude taxes and buyer fees and use the applicable ticket price after a valid ticket discount; the separate discount-independent service-booking rule does not automatically apply to tickets. The 2.5% buyer payment-processing fee is Haptickk's disclosed charge for payment processing; it is not a representation that a processor charges Haptickk exactly that amount on every purchase. It is distinct from an actual processor dispute-fee reimbursement charged to a responsible business after an accepted or finally lost dispute. An originally complimentary ticket has no percentage or $2.00 buyer ticket fee under this standard schedule. A discount on a paid ticket does not automatically convert its classification into a complimentary allocation or waive the fixed fee; any amount still payable must be disclosed before acceptance. A promotion offering a genuinely free total must also waive all mandatory buyer fees. All mandatory, calculable buyer charges must be included in the prominently displayed total when a ticket price is first advertised, with any exclusions limited to what applicable law allows. Provide a clear itemization of ticket price, discounts, buyer fees, and taxes before payment. No fee may be disguised as a government charge or imposed after purchase without a valid separate authorization. Example: two paid tickets at $50 each with no discounts have $100 in ticket price, $8 in ticket service fees, and $2.50 in payment-processing fees, for a total of $110.50 before applicable tax. A $40 discounted paid ticket has a $3.60 ticket service fee and a $1.00 payment-processing fee, for a $44.60 total before tax. These are the same components expressed in the combined $2.00 plus 6.5% formula, not additional fees on top of that formula.

Organizer fees and Organizer Pro

On the standard free organizer plan, the organizer platform fee is 2.5% of each paid ticket's price before taxes and buyer fees, after any applicable ticket discount. It is deducted from organizer proceeds, not a second buyer fee. The free plan permits up to 50 complimentary tickets per event. It is not a 50-ticket limit on total paid sales. Organizer Pro is $59.99 per month where offered and removes the 2.5% organizer platform fee for tickets eligible under the accepted plan terms. It does not remove buyer fees, taxes, Swarm campaign costs, refunds, dispute liabilities, reserves, or separately authorized costs. Included features and complimentary-ticket allowances must be shown before enrollment; Pro does not imply unlimited lawful attendance or inventory. The enrollment and settlement disclosure must specify the plan eligibility rule applicable to each sale, including any settlement-date requirement. Haptickk will not retroactively increase an already disclosed sale-specific organizer fee solely because a plan later changes. If a proposed plan change would affect unsettled ticket proceeds, its impact must be disclosed and affirmatively accepted before the change, subject to law. Subscriptions renew only under the recurring-payment consent obtained at enrollment. Cancellation stops future renewal as disclosed; statutory cancellation and refund rights remain. The general Terms govern subscription notices and support if cancellation controls fail.

Checkout, issuance, and admission

A purchase is complete when payment is accepted and the order is confirmed. An unsuccessful payment, shopping-cart hold, or pending order is not a valid ticket. If payment is captured but issuance fails, contact support; we will correct delivery or refund an unfulfillable order.

Review the event details, restrictions, quantities, and total before paying. A ticket provides the admission or benefits described, subject to lawful, clearly disclosed event conditions. It does not guarantee an unadvertised performer, unrestricted re-entry, or benefits not included in the ticket type. Keep QR codes and access credentials private. Copying a code does not create additional admission rights; an already redeemed code may be rejected. Organizers must investigate plausible erroneous rejection or scanning problems rather than treating a technical record as conclusive in every case. Buyers should contact event staff and support promptly if admission is wrongly denied. Ticket transfer or resale is available only if expressly enabled and permitted for that ticket and under applicable law. Do not sell counterfeit or speculative inventory, bypass purchase limits with bots or false identities, or duplicate tickets. Haptickk does not promise a secondary resale market or transfer feature.

Attendance, safety, accessibility, and recording

Attendees must comply with lawful safety and admission requirements, respect other people, and avoid harassment, discrimination, violence, intoxication-related misconduct, and unlawful activity. Organizers may refuse admission for a substantiated breach of a lawful condition, but must not use unrestricted discretion to deny paid admission unlawfully. Refund consequences depend on the facts, disclosed policy, and law. Organizers must provide legally required accessibility and reasonable accommodation processes and accurately disclose how attendees can request assistance. Account holders must be adults, but age-appropriate attendance by minors may be permitted under the event's disclosed conditions. Responsible adults and organizers retain their respective child-safety duties. An event listing or ticket is not an unlimited release of an attendee's image or voice for advertising. Organizers and creators must obtain any required notice, consent, or release for recording and later use, particularly for minors and private or sensitive settings. Intellectual-property and public-performance permissions remain the responsibility of the party using the protected material. Ordinary event participation can involve physical and environmental risks. Nothing in these Terms releases a party from nonwaivable liability or substitutes for a lawful, event-specific informed consent where required.

Cancellation, postponement, and material changes

Organizers must promptly notify Haptickk of cancellation, postponement, a material location or date change, inability to honor admission, or other material failure and stop misleading sales. Do not continue selling an event known to be cancelled or impossible to deliver. For organizer-caused cancellation or complete failure to deliver an event, buyers receive the affected ticket price, mandatory buyer fees, and refundable taxes. An organizer cannot require credit or a replacement event instead of a refund the buyer is entitled to receive.

For postponement or material changes, provide clear notice of the change and lawful options, including refunds where required by law or the accepted purchase policy. Do not automatically treat indefinite postponement as completed performance. For partial cancellation or missing material benefits, assess an appropriate partial or full remedy based on the affected purchase. For ordinary buyer cancellation, buyer no-show, or a request based only on preference, the policy disclosed at purchase governs, subject to mandatory law. If an event does not offer voluntary refunds, say so prominently before purchase. That label does not limit remedies for cancellation, fraud, material misdescription, or unfulfilled admission. Force majeure does not automatically permit an organizer to retain all buyer funds. The refund policy and applicable law continue to govern funds for undelivered benefits. Travel, accommodation, and other consequential expenses are not included in an ordinary ticket refund unless expressly promised or required by law.

Organizer proceeds, reserves, and campaign funding

Organizer proceeds are subject to settlement, disclosed platform fees, organizer-funded discounts and Swarm rewards, applicable taxes, refunds, disputes, and supported adjustments. Buyer fees are not organizer revenue unless expressly agreed. We may maintain a reasonable, disclosed reserve for event delivery and transaction risk under the general Terms. A reserve is distinct from the organizer platform fee and from a Swarm reward allocation. The amount, release trigger, and review conditions applicable to an organizer must be provided before affected sales where practicable. Material risk can justify a proportionate change with appropriate notice; release remains subject to unresolved disputes or legal restrictions. Swarm is optional. By separately accepting a campaign, the organizer authorizes the agreed rewards to be reserved from attributed ticket proceeds when eligible purchases occur. Organizer Pro does not fund or waive those rewards. An organizer must review the reward formula, eligible base, campaign version, cost example, budget limits if offered, and payout impact before activation. No campaign may promise rewards exceeding its lawful funding arrangement. If eligible proceeds are insufficient, Haptickk may stop future campaign conversions or pause sales, request additional funding under a separately accepted arrangement, or hold the affected settlement. We will not turn an unaccepted funding increase into an automatic bank debit. Already accrued valid entitlements cannot be eliminated merely by closing the campaign.

Refund liability and dispute cooperation

The organizer authorizes Haptickk to administer refunds it owes and recover the affected organizer proceeds. For organizer-caused non-delivery, the organizer bears unrecoverable processor costs attributable to it where lawful; Haptickk reverses its own refundable fees and bears costs due to its own error. The same loss may not be charged through a reserve, transfer reversal, invoice, and separate adjustment more than once.

Provide truthful evidence of purchase, event performance, admission, communications, and applicable purchase terms within the reasonable deadline stated in a dispute request. Do not manufacture scan records or ask a buyer to withdraw a valid dispute as a precondition to a refund already owed. Accepted or finally lost disputes may result in reversal of the affected organizer proceeds and the actual, unmarked-up processor dispute fee under the general Terms. Open disputes may justify temporary holds, not a final finding of fault. Won disputes require release or correction of the corresponding hold, subject to another documented basis. These obligations survive payout, event completion, subscription cancellation, and account closure. Reward reversals and reserve corrections must be coordinated with the buyer refund so neither Haptickk nor the organizer receives a double recovery.

Attendee data and team access

Use attendee information only for event fulfillment, support, safety, tax or legal duties, and other independently lawful purposes disclosed to attendees. Do not sell attendee lists, disclose QR codes unnecessarily, or treat attendance as consent to unrelated marketing. Organizer marketing requires its own valid legal basis and applicable consent. Give personnel only the access needed for their roles, protect exports, remove access when duties end, and promptly report a suspected breach. An organizer deciding its own subsequent use of attendee information is responsible for its own privacy notice, rights handling, security, and retention; it is not automatically Haptickk's data processor. Promoters should receive attribution and earnings information needed to administer their campaign, not unrestricted access to attendee contact details.

Enforcement, disputes, and contact

Haptickk may remove misleading listings, suspend sales or campaign participation, restrict access, or hold affected funds for supported safety, fraud, performance, or legal concerns. Undisputed proceeds are not forfeited solely because an account is suspended. Organizers may seek review through support.
